Conference Venue and Location


  1. Where is HiPC 2015 held?
    1. Hotel Park Plaza Bangalore, Karnataka, India
  2. When does the conference begin?
    1. 16th December 2015
  3. When does the conference end?
    1. 19th December 2015
  4. Is there any plan to change the venue for HiPC 2015 this year?
    1. No
  5. Is Bangalore the definitive place for the conference? Can I go ahead and my book my travel/flights or do we have to wait?
    1. Yes. Bangalore is the confirmed venue for HiPC 2015.

Who should register?


You must register for the conference if:
  1. You are interested in attending any/all sessions/workshops/tutorials at the conference
  2. You wish to view the industry exhibits part of the conference
  3. You have to man any of the exhibit booths at the conference
  4. You are a speaker for any of the workshops/sessions at our conference
  5. You are a student who received any sponsored/travel scholarship
  6. You have received a complimentary pass (through one of our sponsors or otherwise) to attend the conference and want to avail the pass
  7. Your paper has been accepted at our conference and you will be presenting it‏

How to Register


  1. When does the HiPC 2015 registration open?
    1. September 1st 2015 (IST)
  2. I’m ready to register. How do I do it?
    1. Click on the "Register Now!" link.
    2. Please create an account with us by providing your username and email address (if you have not already done so).
    3. If you have already created an account with us, please login using your credentials.
    4. After login, please click on the "Register Online" link on the left pane to start the registration process.
  3. I already created an account with my email address. Does this mean I am registered for the conference?
    1. No. Please follow the steps mentioned above to register for the conference.

Registration Fees


  1. What is the registration fee for the conference?
    1. Please check the "Registration Fees" section under "Important Information".
  2. What does the registration fee include?
    1. The conference registration fee includes
      1. Attendance at all HiPC 2015 workshops, tutorials, the student research symposium and technical session from December 16th to 19th 2015.
      2. An electronic version of the HiPC 2015 proceedings published by IEEE.
      3. Breakfast, lunch and refreshments on all four days, the conference banquet, and a cultural event (if scheduled).
  3. Does the registration fee include dinner?
    1. The fee includes the conference banquet dinner on 18th Dec 2015. No dinner is arranged on other days of the conference.
  4. Is there a way to register to attend few hours or one day of the conference?
    1. No. We do not have hourly or daily registration rates at our conference.
  5. As my company is not a Government organization, I am required to pay the regular fees. If I am paying the costs myself, is possible for me to register at a lower registration rate offered to government RND organizations?
    1. No. Our conference does not support this. If you have any further questions, drop us an email at regchair@hipc.org.
  6. Multiple people from my organization are participating in the conference and our organization is paying our cumulative registration fee by a single cheque. Do I still need to register for the conference?
    1. Yes. Each person from the organization has to register for the conference. During registration, choose the payment options as “Cheque/DD”.
  7. I have chosen the payment option as “Cheque/DD”. However, my organization failed to send over the check/DD to the finance chairs. Will I be allowed to attend the conference?
    1. No.
  8. I have chosen the payment option as “Cheque/DD”. My organization failed to send over the check/DD to the finance chairs. However, I have a DD/Cash to pay my registration fee. Will I be allowed to attend the conference?
    1. Yes. Once you pay your registration fee in cash/DD onsite at the finance desk, you will be permitted to attend the conference.

HiPC 2015 Registrations – General Queries


Paper Accepted/Presenting a paper at the conference

  1. I have co-authored multiple papers in the conference and/or in the workshops. While registering I had the option of registering for only 1 paper. Will my registration count for all the papers at the conference or do I have to register more than once?
    1. The conference does not have a charge for an author having more than one paper for the conference.
  2. I have co-authored multiple papers in the conference and/or in the workshops. While registering I had the option of registering for only 1 paper. Will my registration count for my co-author(s) as well?
    1. No. Every participant who wishes to attend the conference has to register for the conference individually.

No Paper Accepted/No Paper presentation at the conference‏

  1. I am not presenting any paper at the conference. Is it possible for me to attend the conference?
    1. Yes.
  2. I am not presenting any paper at the conference. What will be the registration fees?
    1. Refer to “Registration Fees” section under “Important Information” page.

Important Dates/Deadlines


Camera Ready Paper Submission Deadline

  1. Who can upload the camera ready paper?
    1. If your paper has been accepted at our conference, any of the authors can upload the camera ready version of the paper.
  2. When is the camera ready paper submission due?
    1. September 30th 2015
  3. What happens if the camera ready paper has not been submitted by the deadline date mentioned?
    1. The paper, although accepted by the conference, will not be included in the electronic version of the HiPC 2015 proceedings.

Author Registration Deadline

  1. What is the significance of the Author registration deadline?
    1. If your paper has been accepted at our conference, at least one of authors of the paper should register before this date to ensure that the camera ready paper submitted will be included in the electronic version of the HiPC 2015 proceedings published by IEEE.
  2. What is the Author registration deadline for HiPC 2015?
    1. October 16th 2015
  3. What happens if none of the authors have registered before the author registration deadline?
    1. The submitted camera ready paper will not be included in the electronic HiPC 2015 proceedings published by IEEE.

Early Bird/Advanced Registration Deadline

  1. What is the early bird/advanced registration deadline for HiPC 2015?
    1. November 14th 2015
  2. Is there any advantage to registering early?
    1. Yes.
    2. Register before November 14th 2015 and save at least $100 off the regular registration fees (for participants from outside India and corporate professionals from India).
    3. For those paying subsidised fees, register before November 14th 2015 to save at least Rs 500 off the regular registration fees.
  3. What happens if I register after the early bird/advanced registration deadline?
    1. Regular conference fees apply.
  4. Is it possible to register at the advanced rate after the early bird/advanced registration deadline (November 14th 2015)?
    1. No

Registration Cancellation Deadline


  1. I have registered for the conference but I will not be able to attend the conference. Can I cancel my registration without forfeiting my registration fee?
    1. Yes. Written requests for cancellation or refunds must be received on or before December 1st 2015.
  2. Who should I send the written cancellation request?
    1. Please address your cancellation request all of the following addresses:

  3. Will I get a full refund on cancelling my registration?
    1. No. Refunds are subject to a $10 (Rs. 600) processing fee.
  4. Will I get a refund if I cancel my registration after December 1st 2015?
    1. No. Confirmed registrants who do not participate or who cancel after December 1st 2015 will forfeit their registration fees.

Invited Speaker at HiPC


  1. I am invited as a speaker at the conference. Do I need to register for the conference?
    1. Yes.
  2. If I am invited as a speaker for the conference, do I get a complimentary pass for the conference by default?
    1. No. Every participant at the conference has to register for the conference.
  3. I am invited as a speaker. Who should I contact in case I want a complimentary registration?
    1. In case you have been invited by a Sponsor company of HiPC, please check with the Sponsor for any complimentary passes.

Issues seen during Registration


  1. I have registered online for the conference and I got a customer receipt confirming my payment but I haven't received any official registration confirmation yet. What do I do?
    1. You will receive a confirmation email within 10 business days after we receive your registration.
    2. Check your spam folder in case you do not find the confirmation email in your inbox
    3. If you still have not received an official confirmation, email us at regchair@hipc.org.
  2. I have registered online for the conference and I got a customer receipt confirming my payment but I lost/deleted my official registration confirmation. Is it possible for me to get a copy of the conference registration email?
    1. Yes. Drop us an email at regchair@hipc.org
  3. While registering for the conference, the transaction did not complete and the payment was not processed. What do I do?
    1. Register for the conference again.
  4. While registering for the conference, the transaction did not complete and the payment was not processed. Is my registration is confirmed?
    1. No. Contact us at regchair@hipc.org in case you face any issues during registration.
  5. I made a mistake while paying the registration fees and selected the wrong option to pay the fee. How do I correct this?
    1. Drop us an email at regchair@hipc.org with your confirmation email attached. We will send you further instructions (varies on a case-to-case basis)
  6. How is the option "Join IEEE TCPP?" on the online registration page processed?
    1. This information is forwarded to the chair of the committee to take it further.

Visa (Requests/Letters/Issues)


  1. Who will need a Visa?
    1. All non-Indian-citizens are required to have an Indian visa to enter the country.
  2. What is the process for getting an Indian Visa?
    1. The process to get an Indian visa change frequently.
    2. It is the responsibility of the participant to determine what visa application requirements apply to their individual circumstances.
    3. Please check the exact set of requirements/documents that will need to be provided to the Indian Embassy/Consulate in your respective countries, including the type of visa required for their travel and the requirements for security clearance that apply to some countries.
  3. Does HiPC 2015 require government clearance to function?
    1. Yes.
  4. Does the government clearance for HiPC have any impact on requests for Visa letters?
    1. HiPC must obtain government clearance before issuing the conference visa invitation letters.
  5. How will we know if HiPC has acquired government clearance or not?
    1. A letter giving this clearance will be posted in our website, so that you may provide a copy as part of their application to the appropriate agency processing their visa request.
  6. My Visa application requires an invitation letter from the conference. How do I get it?
    1. Create and/or Login to your HiPC account.
    2. Register for the conference.
    3. Please confirm that you have paid the registration fee in full and that we are in receipt of this payment.
    4. Click on “Request Visa Letter” link on the left pane of the window.
    5. Follow the instructions on this page.
  7. Can I request for a Visa letter without registering for the conference?
    1. No.
  8. I have paid my registration fee through cheque/DD. Will I be issued a Visa invitation letter?
    1. Yes. Only after we have received your payment.

Registration cancellation subject to Visa unavailability

  1. I registered for the conference but my Visa did not get approved and I will not be able to attend. Will I get a refund?
    1. Yes. It is subject to the “Cancellation policy” stated under "Important Information".
  2. I registered for the conference but my Visa did not get approved and I will not be able to attend. I did not cancel my registration before December 1st 2015. Will I get a refund?
    1. No. Confirmed registrants who do not participate or who cancel after December 1st 2015 will forfeit their registration fees.

Onsite HiPC 2015


Onsite Registration

  1. I could not register for the conference previously. Is it possible for me to register for the conference onsite?
    1. Yes. Contact the registration desk to register online.
  2. What are the registration fees for onsite registration?
    1. Check the “Registertion Fee” section under Important Information.

Queries regarding Badges

  1. I forgot to bring a printout of my badge. Will I be able to check-in onsite without a badge?
    1. No. Contact the registration chair onsite to see if your registration can be processed.
  2. I forgot to bring a printout of my badge. However, I have it in my email. Is it possible to get a print out of my badge?
    1. No. Contact the registration chair onsite to see if your registration can be processed.
  3. I already checked in at the registration desk with my badge however I lost my badge. Is it possible to print a copy of my badge?
    1. No.
  4. I am a scholarship student with/without Travel aid. Who do I contact regarding my scholarship/travel grant reimbursement?
